Working closely with operational leaders, auditors and external partners, you'll balance workloads, monitor capacity, resolve scheduling issues and provide valuable management information to support decision-making. No two days are the same, and you'll be at the heart of keeping a busy audit function running smoothly.
This role would suit someone with previous experience in scheduling, resource planning, workforce coordination, operations support or service delivery coordination who enjoys working in a structured, fast-paced environment.
Key Responsibilities
Coordinate and maintain auditor schedules, ensuring work is allocated efficiently and deadlines are met.
Monitor workloads, availability and capacity, identifying and escalating potential scheduling issues.
Maintain accurate records, scheduling data and operational documentation.
Act as a key point of contact for scheduling enquiries from internal teams and external partners.
Organise meetings, prepare agendas, capture actions and support their timely completion.
Track outstanding audit activities and work with stakeholders to keep delivery on schedule.
Review audit-related invoices and support administrative processes.
Produce regular reports and management information on scheduling activity, workload and performance.
Support continuous improvement initiatives to enhance planning processes and operational efficiency.
Provide wider administrative and coordination support to the Operations team as required.
What we are looking for
We're looking for a highly organised coordinator who can manage multiple priorities, communicate confidently with stakeholders and maintain a high level of accuracy.
You'll ideally have:
Experience in a scheduling, resource planning, workforce coordination, operations support or service delivery role.
Strong organisational and time management skills, with the ability to prioritise competing demands.
Experience working within a busy operational environment where workloads and schedules must be actively managed.
Excellent attention to detail and experience maintaining accurate records, data and documentation.
Strong communication and stakeholder management skills, both written and verbal.
Good working knowledge of Microsoft Office, particularly Excel, Outlook and Teams.
Experience using scheduling systems, workflow tools, CRM platforms or other business systems.
The ability to work independently, use initiative and take ownership of tasks and outcomes.
A proactive approach to problem-solving and process improvement.
Experience producing reports, coordinating meetings, tracking actions, processing invoices, or working within certification, compliance, professional services, engineering, facilities management or project-based environments would be beneficial but is not essential.
